1. Scope
This policy explains how ONEDONLY Academy processes personal data when you use onedonly.com, edu.onedonly.com, submit an enquiry, communicate with us through email, telephone, WhatsApp, Telegram, Instagram or LINE, purchase educational services, attend lessons, or use the learning portal. It applies to prospective and current students, parents and guardians, teachers, employees, contractors, and website visitors.
2. Data we collect
We may collect names, dates of birth or age, country and branch, telephone numbers, messenger identifiers, email addresses, preferred language, learning goals and level, lesson format and schedule, attendance and progress, homework and teacher feedback, payment and package information, communication history, consent records, account and authentication data, technical logs, device and browser information, and recordings or transcripts of online lessons when enabled. For a child, we also process the parent or guardian's identity, relationship, and contact details.
3. How data is obtained
Data is provided directly by you, a parent or guardian, an authorised manager, teacher or employee; generated while you use our services; received through integrations you choose to use; or supplied by advertising and communication platforms when you contact ONEDONLY Academy or submit a lead form.
4. Purposes and legal grounds
We use data to respond to enquiries, prevent duplicates, manage leads, enrol students, organise lessons and groups, create video-meeting links, deliver and improve education, monitor progress and attendance, assign teachers, process and reconcile payments, calculate remuneration, send service reminders, maintain communication history, provide support, protect accounts, prevent fraud, meet legal and accounting duties, and analyse school performance. Processing is based on performance of a contract, steps requested before a contract, consent where required, compliance with law, and our legitimate interests in operating and protecting the school.
5. Communications and social platforms
When you contact us through Instagram Direct, WhatsApp, Telegram, LINE, email or telephone, we may store the conversation and related account identifier in the CRM so authorised managers can continue the dialogue and provide consistent service. These platforms process data under their own privacy policies. You can stop marketing messages at any time; service and transaction messages may continue while needed to provide the service.
6. Online lessons, recordings, and learning data
Online lessons may use Google Calendar and Google Meet. Where the applicable settings and licence allow it, lessons may be recorded, transcribed, or summarised. Participants are informed through the portal, invitation, or lesson interface. Recordings and learning artefacts are used for quality control, safeguarding, dispute resolution, teacher development, and student progress, and are accessible only to authorised users.
7. Children
For a student who is a minor, enrolment and processing of contact, payment, and learning data are managed through a parent, guardian, or other authorised representative. We do not knowingly ask a child to provide payment details or independently consent to marketing. A parent or guardian may exercise privacy rights on the child's behalf.
8. Sharing and processors
We disclose data only as necessary to authorised staff, assigned teachers, payment and accounting providers, hosting and database providers, Google services, Meta services, messaging and notification providers, and professional advisers or authorities where required by law. Teachers do not receive a student's private contact details unless operationally necessary and authorised. Service providers act under their own terms and appropriate data-protection obligations.
9. International transfers
ONEDONLY Academy operates across Kazakhstan, Kyrgyzstan, Thailand, and Canada and uses international cloud and communication services. Data may therefore be processed outside your country. We use reasonable contractual, organisational, and technical measures to protect data in accordance with applicable law.
10. Retention
We keep personal data only as long as needed for the purposes above, to provide an active programme, preserve the learning and transaction history, comply with tax, accounting, employment, consumer-protection, and limitation-period requirements, and resolve disputes. Lead and communication data that is no longer required is deleted or anonymised according to internal retention rules. Recordings may have a shorter retention period set by the school or the connected service.
11. Security and access
We use role-based access, access blocking for archived staff, protected integrations, encrypted credentials, audit history, backups, and other reasonable safeguards. Managers may access contact and transaction information for their work; teachers receive only the information necessary to teach and report learning outcomes. No online system can guarantee absolute security.
12. Your rights
Subject to applicable law, you may request access, correction, updating, restriction, objection, withdrawal of consent, portability, or deletion of personal data. Some information must be retained to meet legal obligations or establish and defend legal claims. To exercise a right, email hello@onedonly.com and provide enough information to verify your identity and locate the relevant record.
13. Cookies and technical data
The websites may use necessary cookies and similar technologies for sign-in, language and interface preferences, security, diagnostics, and performance. Where optional analytics or advertising technologies are used, consent will be requested when required by law or platform rules.
14. Changes and contact
